Help for Screenshot Butler Organizer on iPhone and iPad and the separate native Screenshot Butler app for Mac.

Getting started

On iPhone or iPad, use Choose Screenshotsto open Apple's system picker without granting broad Photos access. Browse Screenshot Album is optional and requests Photos access only after explaining why.

On Mac, open Screenshot Foldersand choose the current folder, another folder, or a new Screenshot Butler folder. The app always asks you to confirm the folder with Apple's picker and never changes the system screenshot setting automatically.

Private iCloud sync

Private sync requires the applicable Pro purchase, an Apple ID signed into iCloud, available iCloud storage, and iCloud access for Screenshot Butler. App-owned Butler records and assets use the user's private CloudKit database. Photos identifiers, Finder paths, and device-local source state do not sync.

If sync needs attention:

  1. Confirm the device is signed into iCloud and has available storage.
  2. Confirm iCloud access for Screenshot Butler is enabled in system settings.
  3. Keep the local record; Screenshot Butler remains usable offline.
  4. Open Settings and choose Sync Now after connectivity or account issues are resolved.

Original screenshots

Screenshot Butler never deletes an original automatically. Remove from Butlerremoves only the Butler record. Choices that delete a Photos original use Apple's confirmation and leave it recoverable in Recently Deleted. On Mac, the app moves an explicitly selected Finder original to Trash. If that move fails, the Butler record and protected app-owned copy remain.

Permissions

Photos, folders, Reminders, Calendar, notifications, ReplayKit, and ScreenCaptureKit are requested only when the related feature is chosen. You can review or revoke permissions in Apple system settings. Limited Photos access is supported.

Apple Intelligence

Core OCR, organization, search, stitching, and cleanup do not require Apple Intelligence. On supported iPhone and iPad devices, Apple's on-device model may process bounded recognized text to suggest a title, summary, category, confidence, and tags; screenshot pixels are never provided. On supported iPhone, iPad, and Mac devices, conversational search provides only the phrase you type and no library content. The app falls back automatically when the model is unavailable.

Exporting or removing data

Use Settings to export local metadata as JSON or CSV or to delete all local Screenshot Butler data. Item detail can export searchable PDF and Markdown documents. Review recognized text before sharing because visually redacting an image does not automatically remove previously recognized text from an export.

Purchases

Mobile Pro and Mac Pro are separate lifetime products for their respective native apps. Use Restore Purchaseson the applicable platform if an existing entitlement is not recognized. Payment and Family Sharing availability are handled by Apple through StoreKit.

Frequently asked questions

Does Screenshot Butler upload my screenshots?

Core processing happens on your device. If you enable Pro private iCloud sync, app-owned Butler records and assets are stored in your private CloudKit database so your Apple devices can share them. Parity Labs does not operate an account or server that receives your library, and Photos or Finder originals are never synchronized.

Do I have to grant full Photos access?

No. The system photo picker lets you choose specific images. Screenshot-album browsing also supports limited access.

Can the app delete screenshots automatically?

No. Cleanup suggestions are review opportunities. Deleting an original requires an explicit app action and Apple's system confirmation.

What if Apple Intelligence is unavailable?

Vision OCR and deterministic organization continue to work. Apple Intelligence is optional. Organization suggestions may use bounded recognized text without receiving screenshot pixels, while conversational-search refinement receives only the phrase you type.

What is removed by “Delete Local Data”?

It removes Screenshot Butler's local records, extracted content, thumbnails, and stored picker or share image copies. It does not delete originals from Photos.

Why does the app request Reminders or Calendar access?

Reminders access is used only after you choose Remind Me and confirm the details. Calendar write-only access is requested only after you review an event and choose Save. Canceling, denying permission, or encountering a save error creates no Apple event.

How does screenshot comparison work?

Select exactly two library items and choose Compare. Screenshot Butler compares bounded versions of their images and recognized text locally, shows an overall indicator plus added and removed text, and does not save or change either item.
